Tool 01

Chargeable weight calculator

Air freight is billed on whichever is greater: actual gross weight, or volumetric weight. Enter your carton details and see which one applies before you ask for a rate.

Total volume
Volumetric weight
Actual gross weight
Chargeable weight

Enter dimensions and gross weight.

Chargeable weight is rounded up to the next 0.5 kg, which is how airlines bill it. If your cartons are different sizes, run each size separately and add the results.

Why this number matters more than your scale reading

Aircraft run out of space long before they run out of payload. That is why a 120 kg shipment of foam packaging costs the same as 400 kg of machine parts — the airline charges you for the room you take up.

  • Divisor 6000 is the standard for air freight from China. One cubic metre = 166.67 kg chargeable.
  • Divisor 5000 is used by the integrators (DHL, FedEx, UPS), so the same carton costs more per kilo on express.
  • Measure the outer carton, including any bulge, and round each dimension up to the next whole centimetre — that is what the airline's dimensioner does.
  • Repacking pays. If volumetric weight is far above gross, ask us before you ship; smaller cartons or vacuum packing often saves more than the repacking costs.

ULD & pallet dimensions

Standard air cargo unit load devices. Use these to sanity-check whether an oversized piece will fit before you build the crate.

Figures are the widely used industry standards and are for planning only — usable height, contour and maximum gross weight vary by aircraft type and by carrier. Confirm with us before crating anything over 150 cm high or 300 kg per piece.

Narrow-body limit

On A320 / B737 belly space to the smaller Indian airports, a single piece over roughly 100 cm high or 80 kg becomes difficult. Tell us the biggest piece before booking.

Main deck

Anything over 163 cm high has to go on a freighter main deck. Fewer flights, higher rate, longer lead time — plan an extra 2–3 days.

Crating advice

Wooden crates for India must be ISPM 15 heat treated and stamped. Untreated wood is a guaranteed hold at destination.

Tool 03

India import document checklist

Get these in place before the cargo flies. Every item on the "stops the shipment" list below is something we have seen hold cargo at an Indian airport.

Always required

  • IEC — Importer Exporter Code of the consignee, issued by DGFT
  • AD Code — bank Authorised Dealer code, registered at the specific port of import
  • GSTIN — for IGST credit on the Bill of Entry
  • Commercial invoice — value, currency, Incoterm, HS code
  • Packing list — carton count, dimensions, gross and net weight
  • Air waybill — issued once the booking is confirmed
  • Bill of Entry — filed by the customs broker at destination

Depends on the product

  • BIS registration — electronics, appliances, steel, toys and many others
  • WPC / ETA — anything with Wi-Fi, Bluetooth or a radio module
  • TEC MTCTE — telecom equipment
  • CDSCO — medical devices, diagnostics, cosmetics
  • FSSAI — food, supplements, food-contact materials
  • UN38.3 report + MSDS — any lithium battery
  • APTA Certificate of Origin — can reduce duty on eligible tariff lines, since China and India are both APTA members. Ask us whether your HS code qualifies.

What actually stops shipments at Indian airports

In rough order of frequency
ProblemWhat happensHow to avoid it
AD code not registered at that portBill of Entry cannot be filed; cargo sits in bond accruing demurrageConfirm the port before booking, not after arrival
Undervalued invoiceCustoms assesses its own value, adds penalty, may seizeDeclare the real transaction value
Missing BIS for electronicsGoods refused entry or destroyedCheck the product against the BIS list before production
Battery declared as general cargoOffloaded at origin or seized at arrivalDeclare it; we route it on a channel that accepts it
Untreated wooden packingFumigation ordered at destination, days lostISPM 15 stamped wood, or plywood/plastic pallets
Description too vagueExamination ordered, delay of 2–5 daysSpecific commodity description plus correct HS code
Tool 04

Lithium battery UN numbers

Which UN number applies decides which airlines will take your cargo, and at what rate.

UN no.What it covers
UN3480Lithium ion batteries shipped on their own
UN3481Lithium ion batteries in, or packed with, equipment
UN3090Lithium metal batteries shipped on their own
UN3091Lithium metal batteries in, or packed with, equipment

All four are Class 9 dangerous goods. Every shipment needs a UN38.3 test summary and an MSDS, and standalone cells (UN3480 / UN3090) are the hardest to place — build in extra lead time.

Tool 05

Incoterms, in one table

The four we see on China–India air shipments, and who pays what.

TermSeller pays up toBuyer pays
EXWNothing — goods at the factoryEverything from the door
FOBExport clearance at originFreight, insurance, import duty, delivery
CIF / CIPFreight and insurance to destinationImport duty, clearance, delivery
DAPDelivery to the buyer's addressImport duty and IGST only
DDPEverything, duty includedNothing

Note: DDU is not an Incoterms 2020 term — it was replaced by DAP in 2010. Plenty of people in this trade still say DDU and mean DAP. Put DAP on the invoice.

Downloads

Blank templates and reference sheets. Ask us if you need a version pre-filled for your product.

Put the real files in assets/downloads/ and point these links at them once you have them.

Still not sure how your cargo should ship?

Send us a photo of the cartons and a one-line description. That is usually enough for us to tell you the route, the paperwork and the price.
